You will learn

Learn how to use an Asana marketing brief or calendar as the starting point for a campaign or flow in Composer. You can ask Composer to find and read your Asana work, use it to prepare marketing drafts, and create or update Asana tasks when you want to record the next step for your team.

Before you begin

You need access to Composer and an Asana account that can open the projects and tasks you want to use. Connect the Asana account that contains your team’s marketing work, and review the permissions requested during authorization.

The Asana connector is generally available to Composer customers. If you do not see it in the available connectors, contact Klaviyo Support to check your access.

Connect Asana

  1. In Composer, open Customize > Connectors.
  2. Select Asana under Available connectors and click Install.
  3. Complete sign-in and authorization in the new tab. Review the requested access before authorizing the connection.
  4. Return to Composer and check that Asana appears under Your connectors > Enabled.

Open the connected app’s details and expand its tool count to see the actions available through your connection. Connecting Asana does not give Composer every feature of Asana.

For more connection and authentication guidance, see How to connect and use apps in Composer.

Find the brief you want to use

Start by identifying the source before asking Composer to build anything. Include the Asana project or task name, a task link if you have one, and the date range when you are working from a marketing calendar. This helps distinguish a current brief from an older task with a similar name.

For example: “Find the approved winter launch brief in our Asana Marketing Calendar project. Show me the matching task and summarize the audience, products, offer, and planned launch date. Do not change anything in Asana.”

Check the task Composer found and compare its summary with the brief. If several tasks match, select the intended one before continuing. Supply missing details in the conversation rather than having Composer infer an offer, audience, or date that your team has not approved.

Turn the brief into a campaign or flow

Continue in the same conversation after choosing the source. Tell Composer what to create and which details from the brief to carry over. Include the channel, audience, tone, and any constraints that are not already in the task.

For a campaign: “Use that Asana brief to draft an email campaign for our winter collection. Follow the approved offer and product links, use our brand voice, and exclude recent purchasers. Show me the preview for review.”
For a flow: “Use the onboarding brief in this Asana task to draft a welcome flow with 3 emails. Use the timing and content goals in the brief, and show me the proposed trigger, delays, and messages.”

An Asana calendar date is planning context. Review the generated marketing work before scheduling a campaign or setting a flow live. Check the offer, products, links, audience, and dates against the approved brief; for a flow, also check the trigger, filters, and delays.

For a campaign, refine the preview in chat, then select Create draft to save the campaign in Klaviyo. Creating the draft does not send or schedule it.

For a flow, review the preview and select Create flow draft. Complete your review in the flow builder before setting its messages live.

Write updates back to Asana

The connection supports writing back to Asana as well as reading from it. You can ask Composer to create or update tasks on your behalf. Name the task or destination project and describe the exact change you want. Check the connector’s available tools before requesting a specific task operation.

If you want to review an update before it is made, separate the proposal from the instruction to write. First ask: “Draft an updated description for this Asana task that includes the campaign draft link and the remaining review steps. Show me the text without changing the task.”

After reviewing the proposed text, ask Composer to apply that specific update to the identified task. Then open the task in Asana and check the result. A proposed update is not a completed change; use Composer’s reported result and the task itself to confirm what happened.

Use this handoff to keep your team informed about a draft’s actual state. For example, record that a campaign is ready for review rather than calling it sent when you have only created the draft. Creating or updating an Asana task is separate from sending a Klaviyo campaign or setting a flow live.

Troubleshoot Asana requests

Composer cannot find the right project or task

Confirm that you can open it in the connected Asana account. Give Composer its name or task link and the relevant date range. If several results match, specify the project and choose the correct task before requesting changes.

Asana needs authentication

Open Customize > Connectors and use Reconnect for Asana. Complete authorization, check that the connection is enabled, and return to the conversation.

A task change is unavailable or fails

Check the actions listed on the connector’s detail page and the access of the connected Asana account. If the requested operation is unsupported, complete it in Asana. If Composer reports an error, check the task before repeating a create or update request so you do not duplicate work.
